Plans and Feature Access

Your account controls two different kinds of access:

Your account controls two different kinds of access:

  • capacity, which determines how many projects, recipes, and cultivars you can own; and
  • feature access, which determines whether professional tools such as technical exports, planting-plan sharing, 3D, or implementation tracking are available.

These are separate. A plan can provide more capacity without including every professional feature. AgroForest Designer shows the access that currently applies to your account inside the application.

Check your current plan and capacity

Open Subscription from the main navigation, or open the Subscription page directly.

The page shows:

  • Current plan, including its status and current period;
  • the named core and professional features included with the plan;
  • Plan usage and Your capacity for projects, recipes, and cultivars;
  • the appropriate upgrade, billing, or support actions for the account; and
  • a link to Compare all plans.

The main dashboard also has a Subscription section headed Usage. Use the values shown in your account as the current source of truth. Plan contents and limits can change, so this guide does not repeat fixed prices or quantities. The public Plans and pricing page provides the current comparison.

Understand what counts toward capacity

Only three resource types have an account allowance:

Resource What counts
Projects Every project owned by your account
Recipes Every recipe owned by your account, including ordinary planting recipes and pollinator recipes
Cultivars Cultivars created or copied into your own account

A project may contain multiple saved planting plans and plan versions without each one counting as another project. Likewise, versions of a purchase list do not create additional projects or recipes.

Standard planting recipes and pollinator recipes use the same recipe allowance. Every recipe saved to your account counts toward it. Copying or duplicating a standard recipe creates another counted recipe; pollinator recipes currently use their own create-and-edit workflow rather than public copying.

Public plants, public recipes, and cultivars created by someone else do not become your items merely because you view them. A copy that is saved to your account does count.

When you reach a limit

When the current count reaches an allowance, creation, copy, duplication and import requests use the same catalog limit and are rejected with a limit message. A stale screen can still display an action until it is refreshed, but the mutation does not create an item above the active allowance.

  1. Open Subscription and review Plan usage > Your capacity.
  2. Confirm whether projects, recipes, or cultivars reached the limit.
  3. Review existing work and its connections before deleting anything.
  4. Remove an item only when it is no longer needed, or compare plans if you need more capacity.

Usage updates automatically after an item is created or removed.

If a plan change, cancellation, or expired subscription leaves the account above its current allowance, AgroForest Designer does not automatically delete the extra work. The project and recipe lists may show items outside the active allowance in a frozen section. New mutations remain blocked until capacity is available. Restoring suitable access returns eligible items to the available section.

Do not delete important work merely to test whether it frees capacity. Deletion is permanent. In particular, deleting a project also removes its project-scoped data, including its saved planting plans. Deleting a recipe or cultivar can remove direct connections and related records. Read the confirmation carefully and export or back up anything you may need when those tools are available.

Understand locked and disabled controls

A lock accompanied by an upgrade message means that the action is not included in your current access. Depending on the screen, selecting the control opens an access explanation, takes you to the plan comparison, or does nothing because the button is disabled.

A disabled control is not always a subscription restriction. It can also mean that the current workflow is missing a prerequisite, such as:

  • a saved planting plan;
  • a project boundary;
  • a linked planting recipe;
  • enough selected points or markers;
  • a compatible recipe type; or
  • an active map object or editing mode.

Read the text beside the control before changing plans. The relevant feature guide explains its normal prerequisites.

Core tools and professional tools

Feature access is applied to specific actions rather than to every tool with a similar name. For example, one kind of export or sharing action may be available while another is a professional feature.

Discovery and the main design workflow

The public plant database, Pollinator Plant Database, and Flowering Arc can be explored without a paid subscription. Signing in is required when you want to save account-owned work, and creating that work remains subject to the relevant allowance.

The main project and planting-plan workflow includes the core site, planting, path, generator, analysis, and available structure-template tools. The central subscription catalog defines Path designer and structure templates as a core feature on every plan.

Recipe tools

The following tools on an owned planting recipe require the Professional recipe reports entitlement; use the live Subscription page for the current eligible plans:

  • the recipe Harvest Calendar and its spreadsheet download; and
  • the recipe Shopping List, which opens the Purchase list workspace, and its spreadsheet export.

The harvest tools inside the Digital Planting Plan are a separate planner feature. Their availability does not by itself grant access to the recipe-level Harvest Calendar.

Digital Planting Plan tools

Professional planting-plan actions currently include:

  • recording whether individual specimens are planted, existing, and linked to a nursery;
  • opening the Planted implementation list and exporting it;
  • exporting ground-control measurements as CSV, GeoJSON, or PDF;
  • creating technical drawings in PDF or SVG format;
  • opening the saved design in 3D;
  • downloading a plan as a GeoPackage and connecting a compatible QGIS client;
  • creating new token-based planting-plan links with Share plan;
  • the planner's Create purchase list control for a saved plan; and
  • downloading or importing an AgroForest Designer backup.

The planner's Inventory CSV is separate from the professional ground-control, technical-drawing, and GIS exports. Similarly, public recipe or cultivar sharing is separate from planting-plan sharing. Check the exact control instead of assuming that every export or every sharing action has the same access rule. Existing planting-plan links are not automatically revoked when access changes. Anyone with an active token URL can continue to open it until it is deactivated, so review existing links from Sharing after a downgrade or when a project becomes sensitive. These links are access-by-URL and should not be described as a publicly indexed project page.

Structure templates

Structure-template access follows the central Path designer and structure templates entitlement; category records are not a separate source of commercial plan rules. A template can still be unavailable because its category is inactive or its data is incomplete. If a category shows a plan-specific lock that conflicts with the live plan comparison, report it as a configuration problem rather than relying on that message as a different plan definition.

Understand subscription status

A subscription grants its plan access only while both of these conditions are true:

  • its status is Active or Trial; and
  • the current date falls within its active subscription period.

A scheduled subscription does not grant paid access before its start date. An expired subscription or a status such as past due, unpaid, canceled, incomplete, or paused does not currently grant the paid plan's capacity or professional tools. The application then applies the available Free access while keeping account data stored.

If cancellation is scheduled for the end of the billing period, paid access normally remains available through the displayed end date while the subscription is otherwise valid. The Subscription page shows a cancellation notice and the date on which the current period ends.

Manage billing or change plans

The actions shown on the Subscription page depend on how the account is managed.

Stripe-managed subscriptions

Select Manage plan and payment to open the secure billing portal. From there, the available actions can include changing the plan, updating the payment method, resuming a scheduled cancellation, or canceling the subscription.

The checkout or billing portal confirms when a change has been accepted. Do not assume that closing the payment page completed the change.

Manually managed subscriptions

If the application says that the plan is managed manually, use Contact support. A manually assigned plan cannot be changed through the Stripe billing portal.

Free accounts

Use Upgrade your plan or Compare all plans to review the active paid plans. Checkout is available only when the selected plan is configured for online purchase; otherwise the action may be marked Coming soon.

Refresh access after a billing change

If a Stripe-managed account still shows an old status:

  1. Open Subscription.
  2. Select Refresh status.
  3. Wait for the confirmation, then reload the feature page.
  4. If necessary, sign out and sign in again.

If the current plan, period, and named feature access are correct but a specific action remains locked, record:

  • the feature and page name;
  • the message shown by the locked control;
  • the current plan and subscription status; and
  • the email address associated with the account.

Send those details through Contact support. Do not include payment-card details, passwords, backup contents, or share-link secrets.

Quick troubleshooting

Situation What to check
A New button is disabled Review the matching project, recipe, or cultivar allowance under Your capacity.
A planner tool is disabled Save the plan and complete the tool's prerequisites before assuming that the plan is the cause.
A control shows a feature-access message Open the live plan comparison and check the exact feature.
A structure template is locked Check the selected template category; template access can have its own minimum plan.
Paid access disappeared Review the subscription status, start and end dates, and any payment notice.
A recent billing change is missing Use Refresh status, reload the page, and sign in again if needed.
Work appears frozen after a plan change Confirm the current allowance. Do not delete the work unless you no longer need it.
